Before the seam is closed, every child places a small heart inside their patient — and it pulses. A soft, steady thump you can feel through the fur when you hug it. Kids press their ear to it. Parents get quiet. It is the single best thirty seconds of the whole party.

Every patient is stuffed by hand at the table. The child does the work, decides how squishy is squishy enough, and places the beating heart inside before we close it up.

No fixed packages. Each child chooses a patient, then chooses how to dress it — a fancy unicorn in a plain tee costs less than a classic bear in the full look. That's the whole point.

A note on themed outfits. We source in styles and colors, not licensed characters — a red-and-blue web-slinger suit, a caped hero, a cowgirl set. Tell us the theme and we'll show you what we can get before you commit. Special orders need three weeks, so ask early.

The hybrid is the one most birthday hosts land on. You know your cost before the party starts — guest count times the patient price, plus the event fee — and any child who wants a tutu or a lab coat can still get one. We take cards and cash at the table, and we'll never pressure a child whose parent said no.

You can always reschedule instead. At any point, including the morning of, we'll move your deposit to a new date within twelve months at no penalty — one move per booking, subject to what's open on the calendar. That's almost always the better option for everyone, and it's why the late-cancellation numbers can stay firm.

The event fee is non-refundable once your date is held, and it isn't part of the sliding scale above. It covers the date coming off our calendar the moment you book it. It does carry over in full if you reschedule.

Weather is different. If your outdoor event is rained out and there's no indoor backup, we reschedule with everything intact — no penalty, no lost fee. We'd rather move than run a plush party in the rain.

The event fee is separate from the per-patient price and covers our travel, setup, and teardown within 25 miles of Jeffersonville, Indiana — which reaches most of metro Louisville and southern Indiana. Larger groups need extra hands and extra stations so no child waits, and that's the only reason the fee steps up. Beyond 25 miles we add $0.75 a mile round trip, and we'll tell you the exact number before you book, never after.

Two ways to run it

Already have a theme? Keep it.

The clinic is our thing, not a requirement. If your party is jungle animals or princesses or Bluey, we'll set up as a plain plush bar and stay out of your way. Same patients, same heartbeat, same take-home moment.

The Full Clinic

Lab coats, name badges, the exam-room signage, health certificates, and the whole doctor bit. Best when the party doesn't already have a theme, or when the theme is the clinic.

Option two

The Plush Bar

Just the build station — patients, stuffing, hearts, and the wardrobe rack, in neutral colors that sit under whatever decor you've already got. Faster setup, and we can be out of your photos.

Same price either way. Tell us which you'd like when you check in, or leave it blank and we'll ask. If you're undecided, most first-time hosts pick the full clinic — the lab coats end up in every photo.

Before you book.

What do you need from me at the venue?

A flat space about 10 by 10 feet and one standard outlet. We bring the table, the plush, the outfits, the coats, and everything else. Setup takes about 30 minutes before your start time.

How does the beating heart work?

It's a small pulsing device the child places inside their patient before we stitch it closed. It's fully enclosed with no loose pieces, quiet enough for a nursery, and included with every patient at no extra cost. If you'd ever like it removed, any seam can be opened and re-stitched.

Do the kids really stuff them themselves?

They do. Everything is hand-stuffed at the table, which means smaller hands set the pace and nobody's waiting on a machine. Kids consistently love this part more than grown-ups expect them to.

Can you match our party theme?

Yes. For $75 we bring themed table dressing, signage, and props built around whatever you've planned. We can also special-order outfits for the patients in your theme's style for $6 above the usual price. Both need about three weeks notice so we have time to source properly — ask when you first reach out and we'll tell you exactly what's possible.

Do we have to do the doctor theme?

Not at all. We offer a plain plush bar setup — same patients, same hand stuffing, same beating heart — in neutral colors that blend with whatever theme you've already planned. Same price either way, and it actually sets up a little faster.

Why does the event fee go up for bigger groups?

Past twelve children we bring a second attendant and a second build station so nobody stands in line. The step-up covers that extra staffing, not extra profit — the per-patient price stays exactly the same no matter how many guests you have.

How long does the party take?

Plan on about two hours on site — roughly 30 minutes of setup before guests arrive, 90 minutes of actual party, and teardown after. Each child spends about seven minutes at the build station, and with the wardrobe rack self-serve we keep everyone moving so nobody's standing around.

Can guests pick different patients and outfits?

That's how it's designed. Every child builds their own combination and you're billed for what each one actually chooses. If you'd rather cap it, tell us a per-child ceiling and we'll hold the table to it.

Can we do this outdoors?

Yes, with shade and access to power. Stuffing is light and fluffy, so a windy day is our one real enemy — if the forecast looks rough we'll talk through a covered option ahead of time.

What if my guest count changes?

Send your final count 72 hours out and we'll adjust the invoice. We'd rather bring extra than run out, so a few surprise guests are usually no problem.

Do you do more than birthdays?

Regularly. Church events, VBS, school carnivals, corporate family days, daycare celebrations, grand openings, and fundraisers all work well. For fundraisers we can set up a per-patient table so your organization keeps a share.

How do we hold a date?

Check in below and we'll confirm availability, then send an agreement and an invoice. A 50% deposit reserves the date — that's half your estimated guest total plus the event fee — and the balance is due one week before your event. If you cancel, your deposit comes back on a sliding scale depending on how much notice we have, and you can always reschedule within twelve months instead.
